# Equipment Register

> Track equipment, calibration and preventive maintenance with signed, append-only records.

The **Equipment register** lists your equipment with its owner, location and recorded calibration and
preventive-maintenance (PM) status. It is available where the equipment register is enabled for your
organization. It is off by default and is enabled per organization on request. Open it from
**Operations → Equipment**.

> [!NOTE]
>
> The register records calibration and PM status. It is not a permission-to-use decision. Qualification,
> open defects or holds recorded elsewhere, and out-of-tolerance impact are not assessed in Invariant.

## Register columns

The register shows **Asset**, **Location / site**, **Owner**, **Calibration next due**, **PM next due**
and **Recorded status**. Filter by **Status**, **Site** or **Owner**.

## Equipment record

Each asset has an **Asset code** (unique in your organization), **Name**, **Manufacturer**, **Model**,
**Serial number**, **Location**, **Owner**, **Site** and **Criticality** (high, medium or low). The asset
code cannot change once any event has been recorded. Identity edits need a reason for change.

**Recorded requirements** set calibration and PM separately to unknown, required or not required.
**Required** needs an interval in months (1 to 120). **Not required** needs a basis.

## Recorded status

| Status | Meaning |
| - | - |
| Calibration and PM current (as recorded) | Every required part is current. A part due within 30 days is highlighted as due soon. |
| Calibration or PM requirements unknown | At least one requirement has not been set. |
| Calibration or PM not current | A required part is overdue, failed or has no record. |
| Out of service | The latest service event took the asset out of service. |
| Retired | The asset is retired. Only voiding the retirement is allowed. |
| Record integrity failed | A stored file or signature for this asset failed verification. |

## Actions

Use **Record an action** on the detail page. Every action needs a reason of at least 10 characters.
Signed actions need password re-entry.

| Action | Who | Signed |
| - | - | - |
| Set requirements | QA Manager, Administrator | Yes |
| Accept calibration result | QA Manager, Administrator | Yes |
| Record preventive maintenance | Any role with equipment access | Yes |
| Take out of service | Any role with equipment access | No, recorded as an unsigned safety action |
| Return to service | QA Manager, Administrator | Yes |
| Retire equipment | QA Manager, Administrator | Yes |
| Void an event | QA Manager, Administrator | Yes |

Registering equipment is also a signed action for QA Managers and Administrators. Equipment events are
append-only: a mistaken event is voided with a signed void, not edited or deleted. All events appear in
**Equipment history**.

## Calibration and preventive maintenance

A calibration or PM record captures the date performed (an organization-local date, not in the future),
who performed it or the vendor, and accepted evidence chosen from files already uploaded to the asset.
Calibration can only be recorded when calibration is required, and PM only when PM is required.

* **Calibration** also records a **Pass** or **Fail** result and requires evidence. The person accepting
the result cannot be anyone who uploaded the selected evidence.
* **PM** has no pass or fail result, and evidence is optional. It is signed by the person who performed
  it.

### Due dates

The next due date is the latest valid record's performed date plus its interval in calendar months. The
interval in force when the record was made applies; a later requirements change can shorten it but not
lengthen it. A part is **due soon** with 30 days or less remaining and **overdue** once your
organization's local date passes the due date.

### Failed calibration

Accepting a **Fail** calibration result takes the asset out of service automatically, in the same step.
To return it to service, record a new passing calibration, then have a QA Manager or Administrator sign
**Return to service**. Return to service is refused unless calibration and PM are both current, due soon
or not required.

## Evidence

Upload evidence in the **Evidence** section: PDF, PNG or JPEG files up to 25 MiB. The file content must
match its type. Evidence also needs the attachments feature. Each signed event stores the digests of the
evidence it accepted, so a later mismatch shows the event as **Record inconsistent**.

## Schedule, reminders and PDF (where enabled)

These extras need the equipment schedule setting, which is also off by default.

* **Quality Calendar:** **Show equipment due dates** adds calibration and PM due dates for in-service
  assets. See [Quality Calendar](https://docs.elevatedsignals.ai/invariant/reference/quality-calendar.md#equipment-due-dates).
* **Reminders:** where in-app notifications are enabled, the equipment owner gets a notification when a
calibration or PM is due within 30 days and again when it is overdue.
* **Record PDF:** where record PDF export is enabled, **Download PDF** produces a PDF with the asset
identity, requirements, calibration and PM history, service history, current status, signatures and
attachments. It does not cover qualification or out-of-tolerance impact.
* **Auditor Packet:** the equipment section lists calibration pass and fail counts and any out-of-service
and return-to-service events in the date range. See [Auditor Packet](https://docs.elevatedsignals.ai/invariant/reference/auditor-packet.md).

For the step-by-step procedure, see [Record a calibration](https://docs.elevatedsignals.ai/invariant/how-to/record-a-calibration.md).
