The CAPA retraining loop is available when the training-auto-loop feature is enabled for your organization. It links a CAPA’s corrective action to the people who must be retrained, automatically issues their training assignments, and prevents the CAPA from closing until every assignment is completed and electronically signed. Use it when a CAPA’s root cause is a competency or procedure gap and you need auditable proof that the right people were actually retrained — not just a free-text note that says they were.

Add a retraining action

  1. Open the CAPA detail page. The CAPA must be open or in progress (you cannot add actions once it is done or closed).
  2. Select Add Retraining Action.
  3. Complete the dialog:
    • Corrective action — describe the retraining (for example, “Re-train extraction operators on the CO₂ temperature-excursion SOP”).
    • Action owner — the person accountable for carrying it out.
    • Due date — optional.
    • Audience — choose who will be retrained, in either or both of two ways:
      • Explicit users — select named individuals.
      • Exact platform roles — select one or more of admin, QA manager, reviewer, operator. Roles match the platform role exactly; audiences are not inferred from job titles.
    • At least one target (a user or a role) is required.
Training assignments are not created when you add the action. They are issued only when the action is marked complete, so assignees are not notified prematurely.

Issue the training

Work the retraining action to completion on its action row (Start, then Complete). On completion, Invariant issues a training assignment to every targeted user and every active user in each targeted role. Each assignment is linked back to the CAPA action and appears in Training.

Complete and sign the training

Each assignee opens their assignment in Training, meets the program’s passing score, and re-enters their password to produce a content-bound electronic signature. A completed assignment cannot be silently re-completed.

Closure gates

Once a retraining action exists, the CAPA cannot:
  • move to Done,
  • have effectiveness verified, or
  • be signed closed,
until every action-linked training assignment has a passing completion and a matching content-bound signature. If any are outstanding, the transition is refused with a message naming what is missing.

Reopening a CAPA

If a closed CAPA is reopened for correction, prior action assignments and signatures remain append-only. A new correction cycle requires a new retraining action; existing training history is not rewritten.
This loop covers configured CAPA retraining actions. It does not infer audiences from job titles, and email or SMS notification of assignees is not part of this release — assignees see their work in the application. Overdue status is computed in-application only.
