Document records with version history, a guarded submit/approve path, and attributable activity
logging.
Where document-control completion is enabled, the current draft can be edited, an in-review document
can be rejected for rework, and an approved document can be downloaded as a controlled PDF, subject to
the existing role and signature requirements. These controls remain unavailable when that feature is
off. File attachment availability is separate from draft text editing.
Document Library
All controlled documents with status (Draft, In Review, Approved, Obsolete), version numbers, and
ownership. In regulated manufacturing, using the wrong version of an SOP is a compliance violation —
this ensures everyone works from the current approved version. Filter by status to find documents
needing review, and check for overdue approvals that could block production.
Document Detail
Shows the current version, revision history, approval state, and any electronic-signature
manifestations. GMP document control depends on knowing exactly which version is effective, who
approved it, and whether operators need retraining after a revision. Open a document before acting on
it — confirm the version and status before using it for production, training, or audit evidence.
Approval Workflow
Complete draft version records can move through guarded submit and credential-reverified approval.
Where document-control completion is enabled, an authorized independent reviewer can use Reject
to return the document for rework with a signature and reason. Confirm current-version completeness
before submission, and use the audit trail to review the recorded approval or rejection.
Document categories
When document categories is enabled, choose an available organization category when creating a
document. On an existing draft or in-review document, use the category selector and Save to change
or clear its category, with a reason for change. Server permissions still apply.
Approved and obsolete documents do not offer this editing control. Follow the controlled revision
process instead. Administrators maintain category names in
Settings; category availability is not a new
approval state or an automatic feature activation.
Training against a document version
A version-specific training assignment requires an approved revision. Draft and in-review revisions
are refused, even if they are newer. Confirm the approved version before assigning training; this
release does not provide unrestricted simultaneous effective/draft publication.
